Guest Logistics & Signings Coordinator

The SMASH! Guests department is looking for a new Guest Logistics & Signings Coordinator who will be assisting the Guests Director and Assistant Director with signing line planning and management. Prior to the convention you will also be assisting in any bookings required for guests. During the convention you will be focusing on management of the signing area, making sure that guests are comfortable and catered for, and that attendees are managed according to the planned signing line scheme.

The Guests department is responsible for all international guests who appear at SMASH! ensuring that they are well looked after and that their stage performances and signing appearances are all running smoothly. This is a highly demanding and high pressure section in SMASH!

Key Responsibilities

In this role, your key responsibilities are:

Pre-Convention
  • Organising and managing hotels, flights, restaurants, and guest activity bookings
  • Assisting in the management of the convention layout, where needed
  • Assisting coordinators with equipment requests for stages and signing
  • Managing and assisting in developing signing rules and management
OTD (‘on the day’) – During the Convention
  • Assisting with any necessary bookings, equipment requests etc.
  • Managing the signing area, including management of Crew and line control
ESSENTIAL SKILLS & KNOWLEDGE, EXPERIENCE, QUALIFICATIONS
  • Contactable on a regular basis online and over the phone
  • Strong communication skills
  • Attend meetings, workshops and activities as required
  • Available for convention days in Sydney, Australia
DESIRABLE SKILLS, KNOWLEDGE, EXPERIENCE, QUALIFICATIONS
  • Previous volunteer or customer service experience
  • Prior knowledge and/or experience of SMASH! guest engagement events (signing and selfie-photo sessions) either as an attendee or volunteer
