Guests Logistics Coordinator

The SMASH! Guest department is looking for a new Guest Logistics Coordinator who will manage the pre-event planning, operation of, and logistics of the Guest department during the event. You will ensure that all required items (e.g. signage, items needed for guest panels) are available during the event as well as work with the SMASH! Merchandising team to arrange for guest merchandise to be sold through the SMASH! merchandise booth. As a Guest Logistics Coordinator, you must comply with our code of conduct and guest-related regulations e.g. confidentiality. The ideal candidate will have excellent customer service and communication skills, event planning and management skills, problem-solving skills and work well in a high-pressure environment.

Pre-Convention

  • Engage with Guest Coordinators and Merchandise coordinators to understand logistical requirements for panels and signing area
  • Communicate with Guest Coordinators and SMASH! Merchandise team in understanding the proposed merchandise list and method of display at SMASH
  • Generate and receive approval of a combined VIP Merch sales policy to be followed on the day, which takes into consideration SMASH and VIP guest needs and requirements
  • Arrange all printing, materials and items required for the Guest Department to carry out all activities during the event
  • Assist the Guest Director in booking arrangements for the VIP Guests (e.g. transport, meal arrangements etc.)

During Convention – Event Weekend

  • Ensure Guest Department spaces and panels related to VIP guests are set up according to plan
  • Ensure Guest Merchandise is received and matches provided lists prior to handover of merchandise to the SMASH! Merchandise team
  • Provide logistical support for the Guests team depending on needs that arise during the event
  • Assist in the set-up and operation of guest events outside the event (e.g. planned dinners/activities)

Post Convention

  • Ensure unsold merchandise are returned to guest or managed according to guest’s instructions
  • Work with the Merchandise team to provide a sales summary report to the Guest Directors/Guests
ESSENTIAL SKILLS & KNOWLEDGE, EXPERIENCE, QUALIFICATIONS
  • Proficiency in written and spoken English
  • Available for convention day(s) in Sydney, Australia
  • Available for both workshop and training days, set up day, both days of the convention and post-convention day in Sydney, Australia
  • Attend meetings, workshops and activities as required
  • Excellent coordination and customer service skills
  • Organisational and project management skills
  • Contactable on a regular basis online and over the phone
DESIRABLE SKILLS, KNOWLEDGE, EXPERIENCE, QUALIFICATIONS
  • Prior knowledge and/or experience of SMASH! guest engagement events (signing and selfie-photo sessions) either as an attendee or volunteer
  • Previous SMASH! volunteering experience is desired, but not essential
  • Proficiency in written or reading of Japanese, Chinese or Korean
  • Proficiency in speaking of Japanese, Chinese or Korean
  • Knowledge and/or interest in Japanese culture and popular cultural references
