SMASH! Exhibitors and Sponsorship (E&S) is looking for a new Planning Manager. As a Planning Manager you will primarily responsible for being the main point of contact with our Exhibition Builder, working year round to ensure accurate mapping and  smooth sailing for the bump-in and bump-out procedure for SMASH!’s vendors. They will also be the main relationship link between E&S, Procurement Logistics and Events & Production departments, working closely together to make sure all our vendors are accounted for in terms of providing testing, tagging, storage, mapping, etc. 

The ideal candidate must have previous administrative experience, works well under a high pressure environment and has excellent time arrangement, excellent customer service skills and problem solving skills.

THIS INCLUDES BUT LIMITED TO:

Being the Account Manager for our Exhibition builder, who provides the booths, lighting, and power, for SMASH!’s many vendors as well as our internal teams.

  • Be in frequent contact with our exhibitor builder to liaise the venue products and hiring process with them, in preparation for the SMASH! Weekend.

Act as the main point of contact between the Exhibition builder and exhibitors

  • Check emails on a regular basis
  • Provide customer services to exhibitors leading up to, during and after the convention which include duties such as answering queries, informing exhibitors with relevant updates about booth build requirements.
  • Keep track of all verbal, written and any other forms of communication with exhibitors and the exhibition builder for record purposes

Liaise with Logistics department to ensure all build deliverable by the exhibitor builder  are accounted for SMASH! Vendors and the needs of SMASH!.

  • Keep Logistics and Programming department informed about build decisions.
  • Frequent contact with Logistics department to discuss logistics tactics/procedures for the smooth running of SMASH! Weekend
  • Assist and coordinate the overall design/mapping for SMASH!’s On-The-Dauy venue halls i.e. planning exhibitor positions, department areas, storage areas etc.

Supervise assigned team members of own team

  • Delegate tasks to and supervise team member performance
  • Monitor team members’ work progress, and provide supervisors with feedback and evaluation.

TO BE CONSIDER FOR THE ROLE YOU MUST:

  • Reside in Sydney, Australia
  • High Proficiency in written English and a clear and friendly writing style are essential
  • Require availability for team meetings, both workshop and training days, networking events, set up day and both days of the convention
  • Easily contactable via Email & Mobile phone
  • Strong communication skills, particularly capable in communicating in a professional working manner
  • High level interpersonal skills with ability to work collaboratively with other departments and other functional teams
  • Strong facilitation and leadership skills
  • Ability to work on an individual basis with limited supervision
  • Highly motivated, able to take initiative and self-sufficient
  • Attention to detail and excellent time management
  • Ability to work and communicate in a team

DESIRABLE

  • Sales and Customer Service Experience 
  • Event Management Experience
  • Team Leadership Experience 
  • CAD (Computer-Aided Design) Software Experience
  • Previous volunteer or customer service experience is desired, but not essential
